From confirmed order to delivery
Each milestone is tied to the written quotation and order confirmation so both sides know what is required and who is responsible.
01Confirm the shipping brief
We record the quantity, packing, consignee, destination, requested schedule, shipping preference, importer or broker details, and required documents.
02Agree the commercial basis
The quotation identifies production time, shipping basis, named place, estimated dispatch, freight responsibility, insurance, customs, duties, taxes, and document scope.
03Prepare and review
Production, packing, carton marks, inspection requirements, and draft documents are completed against the approved order record.
04Book and dispatch
Shipment details and the agreed commercial document set are coordinated with the selected logistics provider and the responsible buyer contact.
05Receive and verify
The buyer checks carton count, visible condition, labels, lot information, and documents promptly and reports any discrepancy with supporting evidence.
What to include in a shipping request
These details allow us to prepare a meaningful shipping basis and avoid preventable document or delivery changes.
- Product reference, quantity, and carton or pallet requirements
- Full consignee and delivery address, postal code, or destination port
- Requested delivery window and preferred transport method
- Importer-of-record and customs-broker contact where applicable
- Required invoice, packing, transport, origin, or product documents
- Special storage, handling, labeling, or carton-mark instructions
What the written quotation confirms
The quotation or order confirmation should state the estimated production lead time, shipping basis, named place or destination, estimated dispatch plan, packing configuration, agreed document set, and allocation of freight, insurance, customs-clearance, duty, tax, brokerage, and local-delivery responsibilities.
Incoterms and responsibility
If an Incoterm is used, the written order document will identify the specific rule, named place, and edition. This avoids relying on a trade-term abbreviation without a clear destination or version.
Documents and importer coordination
Provide every document requirement before order approval and identify the importer or customs broker early. HENYO TECARE coordinates the agreed commercial and available product documents; the party identified in the order handles import entry, permits, duties, taxes, and local requirements assigned to it.
Changes, delays, and receiving checks
Changes to specifications, quantity, address, consignee, shipping method, or documents can affect cost and timing and require written confirmation. Carrier schedules, customs review, port conditions, weather, and other external events may also affect delivery. At receipt, record visible damage or shortages with the carrier when possible and retain all packaging and labels.
